Controller

Who we are

The Stratawire is a trading name of AI Cloud Craft Ltd, a private limited company registered in Scotland, company number SC853808. Our registered office is Craighaar, Stoneywood Terrace, Stoneywood, Aberdeen AB21 9JT, Scotland.

AI Cloud Craft Ltd is the controller of the personal data described in this policy. For anything about your data, contact us at privacy@thestratawire.com.

Browsing

Readers of this website

You can read The Stratawire without an account. Our web server records standard technical information for each request (IP address, browser type, the page requested and the time) so we can keep the site secure, stop abuse and fix faults. We keep these logs only as long as needed for those purposes.

We do not use advertising cookies, and we do not run third-party analytics or tracking scripts on our public pages. Staff who sign in to our publishing system receive a login cookie that is strictly necessary for that purpose.

Contact

Newsletter subscribers and enquiries

If you subscribe to our newsletter we hold your email address and a record of your consent, and we use them only to send the newsletter. You can unsubscribe at any time from any issue or by emailing us.

If you contact us through the website or by email, we use what you send (your name, contact details and message) to reply and to keep a record of the conversation. Our lawful basis is our legitimate interest in answering enquiries, or taking steps at your request before a contract.

Journalism

People we interview and report on

Reporting means handling information about people: names, job titles, organisations, what they said in public or to us, and photographs, audio and video recorded at events. We process this for journalism, relying on the special purposes provisions in Schedule 2, Part 5 of the Data Protection Act 2018 where they apply, and otherwise on our legitimate interest in reporting on industry.

  • Interviews are recorded only with the participant’s consent, and we keep a record of that consent for each speaker. You can withdraw consent for future use of a recording by contacting us; material already published may remain where the public interest in an accurate record justifies it.
  • Quotations are checked against the recording. We may email you to check facts (names, titles, figures). That is verification, not approval of the story.
  • Recordings are transcribed and, where needed, translated with the help of AI services (see “Who we share data with”). A person checks every quotation before publication.
  • Private research notes and unpublished material are never shown on the public website and are never used for sales or marketing.

Outreach

Business contacts

To arrange interviews, coverage and partnerships we keep professional contact details for people at companies, organisers and press offices: name, role, organisation, work email and phone, and our correspondence. Where we did not get these details from you, they come from official public sources such as an organisation’s own website, press releases, event speaker lists or company registers, and we record the source.

Our lawful basis is legitimate interests: contacting the right person in a business role about our journalism or services. You can object at any time and we will stop. We follow the electronic marketing rules: in the UK we email companies only with a working opt-out, and we do not send unsolicited marketing emails where the law requires prior consent, for example in Germany.

We do not buy contact lists and we do not scrape LinkedIn.

Contracts

Customers and payments

When a business buys a package from us we hold the names and contact details of the people we deal with, billing details, VAT numbers, orders and invoices, to deliver the service and meet our legal obligations. Card and bank payments are processed by Stripe, which handles payment details directly; we do not see or store full card numbers.

Processors

Who we share data with

We do not sell personal data. We use carefully chosen service providers who process data on our instructions:

  • Hosting and infrastructure: our own servers, Cloudflare (DNS, security and network relay for live video).
  • Email and documents: Google Workspace.
  • Payments: Stripe.
  • AI services for transcription, translation, research and drafting: providers including Anthropic, OpenAI, Microsoft and Google, accessed directly or through OpenRouter, and Z.ai for summarising published sources. We send only what each task needs and use providers that do not train on our data where that option exists.
  • Web search: Exa.
  • Professional advisers such as accountants and lawyers, where needed.

Some of these providers are based outside the UK, mainly in the United States and the European Union, and for research summaries in China. Where data leaves the UK we rely on UK adequacy regulations (including the UK–US data bridge for certified providers) or the ICO’s International Data Transfer Agreement or Addendum.

Retention

How long we keep data

  • Newsletter: until you unsubscribe.
  • Enquiries and business contacts: while the relationship is active, and reviewed for deletion 24 months after our last contact.
  • Interview recordings, transcripts and consent records: as long as needed to support the accuracy of what we published and to answer complaints, then reviewed for deletion.
  • Orders, invoices and payment records: as long as tax and company law require, normally six years.
